While Our skill development programs, training camps and outdoor based real life learning services have received a thums up from parents and institutions, we appreciate you going through this page in detail for your own understanding.
General Information.
Kind Attention.
The Outdoor Campus wishes to draw the attention of all Institutional leaders, managers and co-ordinators to kindly take note of the following for an proper understanding of our operations and to further enable a seamless flow to all our Institutional programs.
The same applies to parents sending their youngsters to any of our Summer, Seasonal camping programs.
Program Reservation.
The Institutional camping program to any of our campuses must be booked by the respective institution with us at least 60-90 days prior to the program start date with a 50% advance, the remaining 50% must be settled within 3-4 working days before the start of the scheduled program.
Following the advance payment, we will provide the Institution with a detailed itinerary of the program, program logistics and travel plans [train, bus or air].
The program reservation request and confirmation of the same will be by an email and must be agreed upon by either party – parent/s in case of Summer or seasonal camping program and Institutional managers / co-ordinators if for an Institution.
Train, Bus or Air Travel.
Train, bus and air travel plus transfers if any to the destination of the program must be booked well in advance or rather a minimum 60 – 90 days in advance as these are considered group bookings. Making group bookings at the earliest ensures we have guaranteed travel arrangements in place.
Escorting Staff.
While escorting staff from the Institutions’ are welcome, we will not be able to accommodate more than One staff member [FOC] per group size of 30-40 pax and Two staff members [FOC] if the number exceeds 50 pax to a maximum 60 pax. If an additional / extra staff member requires to be traveling, above and beyond the permitted staff numbers on a scheduled program then he / she will be charged @ special cost / charges.
Accommodation.
Our programs are about learning to cope with life and enhancing student life skills for the future, therefore please note all shared accommodation in our various campsites/camp locations differ in terms of its specs, composition, creature comfort and convenience.
Though all accommodations are reasonably comfortable, we insist we are not taking students on a luxury holiday and hence the accommodation experience will be quite different at a camping site compared to a holiday or a vacation. This is part of their developing their adaptability skills and not something to feel temporarily discomforted with.
We request parents and Institutional co-ordinators to please educate their youngsters / students about these elements much before their departure to any such of our outdoor / camping programs.
First Aid & Medical.
Adventure and Outdoor activities like any other outdoor sport are prone to the risk of injury. Participants are likely to suffer from bruises/injuries when they don’t follow the guidelines or instructions of the facilitators and activity guides.
Though niggles and injuries are part of growing up and learning from mistakes, we have adequate arrangements for First Aid and basic medical care in all our campuses. A doctor is also available on call in case of an emergency. We assure prompt and immediate medical attention to all our participants in the event of any injury.
Participating students using regular prescription medication are supposed to carry them in their baggage as most of our programs are set in the outback and the wilderness and finding medical stores for the purpose may be a difficulty.
Travel Light.
Students are encouraged to pack light and bring their belongings ONLY in a Backpack or Rucksack. Students may be required to use the same Backpack or Rucksack for their treks on the program to carry packed lunch, dry food, water bottles, extra pair of shoes etc or any other essential items.
Travel Simple.
Students are advised NOT to bring their expensive watches or electronic gadgets, luxury lifestyle items, jewelry or anything and everything that could be easily lost or stolen by anybody.
The Outdoor Campus or any of its campuses or its employees / managers will not be held responsible for the loss of any items which are not supposed to be brought to the program. It is the student’s responsibility to watch and guard over each of their belongings. We are not responsible for carelessness.
Fitness & Health.
It is quite common to feel good today and feel sick the next day and it can happen to anybody. All activities in the program are compulsory to all participants. However, those becoming unwell or being unfit after arriving at the program location will be medically treated and rested from any intense activity.
Most of the program activities are physically, emotionally and mentally challenging, as such each student is responsible for his / her actions and to be able to thoroughly understand the Instructions and information provided at the briefing to make a sound and clean judgment to complete every task or module. Fitness, focus and having a clear mind with good health are the key to making every program a personal success.
If unsure students are welcome to ask the facilitator / instructor for a re-briefing of any activity they have not quite understood. Our activity specialists and facilitators will be happy to brief and re-brief students of their doubts for a better experience.
Safety Gear & Equipment.
Students in all our multi-terrain challenges and adventure activities are provided with world class safety gear and protective equipment.
We provide High rope / land activities participants with harnesses, helmets, safety ropes and world class direct / continuous belay systems to ensure the best safety measures to every student’s experience.
All water-body based activities will have top of the line PFD’s / life jackets and helmets [on whitewater] provided to the students along with a back-up team that guides and monitors the sea, river, lake or pool activity. At The Outdoor Campus safety is our top priority.
Students must be of minimum 09-10 years of age to participate in any our campuses’ activity / program. The minimum height required is about 3.10-4.0 feet and the maximum weight of a participant for harnessed activity should not exceed 120 Kgs.
Our on-site instructors and facilitators will have the right to refuse an activity to participant/s under the influence of alcohol or under any narcotic substances.
Photography & Imaging.
Photography, Videos and general imaging in all or most of our programs are shot by our own staffers or associates. This can be at our program campuses, at an offsite, in a camp or in your own [client Institution] campus. However, these photos we shoot are often freely shared with all client or program groups.
The photographs and videos are therefore owned by The Outdoor Campus and the same can be or will be used for our own promotional purposes, whenever we deem it necessary hence there should not be any ambiguity or conflict of ownership and the right to use the same pictures or videos.
Covid 19 Compliant.
In all our programs… during or whenever there’s a wave, we insist all our participants to wear a protective yet breathable mask while in the company of fellow participants, as also maintaining adequate distance during the activities. However, participants will not be using a mask while doing activities as it’s proven to be detrimental to respiratory functions.
The accommodation and the common areas will also be sanitized and cleaned with disinfectant on a daily basis during the course of our programs. We are indeed, committed to providing all our campers a healthy, clean and medically safe environment.
Charges / Fee.
All charges & program fees are inclusive of taxes / GST /service tip etc. Anything incidental / not included will be notified accordingly to the Institutional co-ordinators / authorities.
Fee Inclusions.
For Residential programs > Accommodation, all meals, transport, travel and transfers by bus/train/flight as may be, activities, world class activity equipment & safety gear, the service of guides, facilitators, activity enablers, program imaging and all common amenities at the campsite / location of the program.
For Day programs > Activities, services of facility and facilitators, safety gear, meals as in the plan, transport and imaging of the program.
In-Campus programs > Activities, services of facilitators or trainers, safety gear and imaging of the program.
Fee Exclusions.
Anything and everything that is not mentioned in the Inclusions.
Force Majeure.
Please note should there be events that are entirely not in our control that disallows us from running or conducting a program, be it an act of God, riots, communal violence or disturbance, government regulations or advisory, restrictions on movement of people, threats or terror attack, natural calamity or disaster, anything that is beyond our control, even not having the minimum participation for commercial viability then the program or event will be indefinitely cancelled and the affected party will not hold us responsible and will submit the same in writing.
Cancellation / Refund Policy – applicable to Institutional and Summer camping programs.
Refunds on all cancellations are forwarded to your bank within 10-14 working days of confirming the refund from The Outdoor Campus.
>15% of program fee will be withheld as cancellation charges for requests made by email between 30 or more days before departure to the program.
>35% of program fee will be withheld as cancellation charges for requests made by email between 25 to 29 days before departure to the program.
>70% of program fee will be withheld as cancellation charges for requests made by email between 21-24 days before departure to the program.
No refunds will be made If we receive any communication for cancellation less than 20 days to the program’s departure.
If the program fee / charges are not paid in advance by a client group / party of The Outdoor Campus and yet needs a cancellation on a confirmed booking, the client group / party will then require to make good the cancellation charges as detailed under the cancellation policy.
Legal.
By having visited and read through this page you [ as a parent ] or if you are an Institution [ being represented by those in communication from an Institution with The Outdoor Campus representative/s ] agree to the conditions of our operations whether for a summer program or an Institutional program respectively.
We are subjected to the jurisdictional courts of Bengaluru for any misunderstanding, failure of assured services, disagreements, discrepancies, accident, unreasonable delay in payments or refunds or as maybe inconveniencing either party in such a business or transaction.
We will in such matters follow the protocol of the law of the land and respect the judgment of the competent courts under whose jurisdiction the dispute/s have been heard.
